We record and process phone calls to run your voice agent. This page explains exactly what we collect, how we use and share it, and how long we keep it — in plain language.

1. Who we are

CallCooky LLC (“CallCooky”, “we”, “us”) is a Wyoming limited liability company registered at 30 N Gould St, Ste N, Sheridan, WY 82801, USA. We build and operate AI voice agents that answer, qualify, and route telephone calls for our business clients.

This policy explains what we collect, why, and who we share it with. It covers callcooky.com and the voice agent service we run on behalf of our clients.

2. What we collect

From visitors to this website

  • Contact details you type into our contact form — name, email address, phone number, and your message.
  • Booking details when you schedule a call with us.
  • Basic technical data such as IP address, browser type, and pages viewed.

From callers who speak to an agent we operate

  • Your phone number and the time, date, and duration of the call.
  • Audio recordings and/or transcripts of the call.
  • Information you provide during the call — for example your name, address, appointment preferences, or the reason for your call.
  • Outcome data such as whether a booking was made or the call was transferred.

From our clients

  • Business contact and billing details.
  • Configuration you supply so the agent can do its job — services, hours, pricing, calendar access, and CRM connections.

3. Call recording & transcription

Calls handled by a CallCooky agent may be recorded and transcribed in order to answer the caller, book appointments, create records for our client, troubleshoot faults, and improve the quality and accuracy of the agent.

Recordings and transcripts are processed by the third-party providers listed in section 5. They are not sold, and they are not used to build advertising profiles.

If you are a caller and you do not want to be recorded, tell the agent you would like to speak to a person, or hang up and contact the business directly by another method.

4. How we use information

  • To operate the voice agent — understand what the caller wants and respond.
  • To book, reschedule, or cancel appointments in our client’s calendar.
  • To pass call records, summaries, and leads to the client the agent answers for.
  • To provide support, investigate faults, and improve accuracy and voice quality.
  • To bill for the service and keep the financial records the law requires.
  • To reply to enquiries you send us through this website.

We do not sell personal information, and we do not use call audio or transcripts to sell you anything unrelated to the call you made.

5. How we share information

We do not sell your personal information. We share it only as needed to run the service:

  • With the business the call was placed to. Caller and lead information from a call is made available to the client whose line the agent answers.
  • With service providers. We use trusted third parties to host the site, power the voice agent and telephony, process payments, send email, and store data — for example web hosting, AI speech and language providers, telephony carriers, email delivery, cloud storage, scheduling, and payment processing. These providers may only use the information to perform work for us.
  • For legal reasons. Where we are required to by law, or to protect our rights, our users, or the public.
  • Business transfers. If we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.

Voice AI moves quickly and the providers behind a given agent change as the technology improves and as each client’s deployment is configured. We therefore describe our providers by category rather than by name. Clients who need the current named list of providers for a specific deployment can request it in writing at any time, and we will supply it as part of a data processing agreement.

Payment card details are handled by our payment processor and go directly to them — we never see or store your full card number.

6. Caller consent & your duties as a client

Some jurisdictions — including California, Florida, Pennsylvania, and Washington — require that all parties consent before a call is recorded. Other laws, including the TCPA, govern outbound calling.

If you are a CallCooky client, you are responsible for providing any caller notice and obtaining any consent required by law in the places you operate, and for ensuring any list you ask us to call is one you are lawfully permitted to contact. We will configure a recording disclosure into your agent’s greeting on request, and we recommend it.

7. SMS and text messaging

When you give your mobile number to CallCooky, or to a business using a CallCooky agent, you may receive text messages related to the service — for example appointment and booking confirmations, reminders, and account or service updates.

Message and data rates may apply. You can opt out of non-essential messages at any time by replying STOP, or by contacting us. Opting out of service messages may affect our ability to confirm your bookings.

If you tick the SMS consent box on our contact form, we use your mobile number only to text you about your enquiry and account. Consent is optional and is not a condition of any purchase. Reply HELP for help, or email mussab@callcooky.com.

Marketing texts are a separate program. We send them only if you tick the separate marketing consent box on our contact form or otherwise give us express consent to receive marketing texts. You can withdraw that consent at any time by replying STOP. Marketing consent is optional and is not a condition of any purchase.

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.

8. How long we keep it

We keep information for as long as it is needed to provide the service, comply with our legal and tax obligations, resolve disputes, and enforce our agreements. Call recordings and transcripts are retained for the period agreed with the client whose calls they belong to, and are deleted or de-identified when they are no longer needed for those purposes.

A client may ask us to shorten their retention period, or to delete recordings for their account, by emailing mussab@callcooky.com.

9. Security

This website is served over HTTPS. Access to call data is limited to the people who need it to run the service, and our providers are selected on the basis that they offer appropriate security for the data they handle.

Payments are processed by a PCI-DSS compliant payment processor. Card details go directly to that processor — we do not store full payment card details on our systems.

No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.

10. Your rights

Depending on where you live, you may have the right to request access to the personal information we hold about you, to ask us to correct or delete it, to object to or restrict how we use it, and to ask for a copy in a portable form. You will not be discriminated against for exercising these rights.

Email mussab@callcooky.com and we will respond within the time the applicable law allows. Where the information was collected on a client’s behalf — for example a recording of a call you made to one of our clients — we will refer your request to that client, who controls it, and support them in answering you.

11. Cookies & analytics

This site uses browser storage to remember your theme preference (light or dark). Embedded third-party tools such as our scheduling link may set their own cookies when you interact with them, governed by their own privacy policies.

You can clear or block storage in your browser settings; the site will still work.

12. Children’s privacy

Our services are intended for businesses and are not directed to individuals under 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.

13. Third-party links

Our website may link to third-party sites and services that we do not control — for example our scheduling page or our social profiles. This policy does not apply to those sites, and we are not responsible for their content or privacy practices. Review their own policies before giving them your information.

14. Changes to this policy

We may update this policy as the service changes. When we do, we will revise the “Last updated” date at the top of this page. Material changes affecting our clients will be communicated by email.
